I'm going to take a long break, like couple months up to a year. What would be the best way to make sure my character isn't deleted?

Square-Enix does not guarantee that any character will remain undeleted for more than 3 months once the content ID linked to it is withdrawn.
Realistically, you can cancel the content ID and cross your fingers, and even if it is deleted you still have the Return to Vana'diel program which lets you restore deleted characters in February.
But without paying to keep the account active, you have no guarantees.

What you can also do is have a friend play your account. Of course, someone will still need to pay the monthly fees.... If your friend is willing to be cooperative in the sense of not stealing your account, you may end up benefiting a little here and there while keeping your character existent.Altaeciana:75RDM/40BLM/71WHM/40SMN/37NIN/37DRK/40RNG/37WAR

What are the steps that I have to go through to see if I can get my account restored. I haven't played for a while, and I can't even log into my Playonline account for some reason. Do I just have to call their customer service and talk to a representative?

Also be prepared to provide your life's history as confirmation. I hear they're pretty paranoid about making sure people only get info on accounts when they're really who they say (with good reason).

Yeah, I have seen PL'ing adds before. I looked into them strictly out of curiosity, and the ones I have seen say they need your login/pass so they can log on and PL themselves. Not a very bright idea.FFXIV Balmung Server

Unfortunately (or fortunately, depending on how you look at it) their target customer is often too stupid/lazy to realize that it's a bad idea.
